Outings & Events

Plan golf outings, manage registration, pair groups, assign hole sponsors, and score results.

Creating an Outing

From your org dashboard, open the Events tab and click Create Outing. Fill in the basic details to get started.

Name
A short title for the event (e.g. "Annual Charity Scramble").
Date & Time
When the outing takes place. Used for registration deadlines and check-in.
Format
Choose from SCRAMBLE, BEST_BALL, STROKE_PLAY, or STABLEFORD. This determines how groups are scored and how results are calculated.
Max Players
The capacity cap. Registration closes automatically when this limit is reached, even if the registration window is still open.
Course & Tee
Select the course and default tee. Hole data (par, yardage, handicap index) is pulled automatically for scoring and sponsor slot assignment.
Tip
Start in Draft to configure everything before players see the event. You control when registration opens.

Outing States

Every outing moves through a four-stage lifecycle. Each state controls visibility and available actions.

Draft
Only managers can see the outing. Configure format, course, sponsors, and pricing before opening to players.
Registration Open
The outing is visible and accepting signups. Players can register through the public link or be added by staff. Closes automatically at max capacity.
Active
Registration is closed and the outing is underway. Groups are finalized, scoring is live, and check-in is available.
Complete
All scores are final. Results, leaderboard, and prize breakdowns are locked and visible to all participants.
Warning
Moving to Active closes registration permanently for that outing. Make sure all expected players are signed up before advancing.

Registration Management

Once the outing is in Registration Open state, players can sign up through two channels.

Public Registration Link

Share the public registration URL with anyone — post it on social media, email it to a mailing list, or embed it on your site. Anyone with the link can register (up to the max player cap).

Staff Link

The staff registration link lets managers and organizers add players directly without going through the public flow. Use this for phone-in registrations, walk-ups, or VIP additions.

Opening & Closing Registration

Registration opens when you move the outing from Draft to Registration Open. It closes automatically in two cases:

  • The max player cap is reached.
  • You advance the outing to Active state.

You can also manually close registration early from the outing settings without advancing to Active — useful if you need time to finalize groups.

Player Management

Adding Players

Managers can add players manually from the outing roster. Enter the player's name and email. If they're already in your org, they're linked automatically. New players are added as guests.

Guest Players

Guests don't need an account to participate. When a manager adds a guest, they appear on the roster with a guest badge. Guests can be converted to full org members later if they sign up.

Removing Players

Remove a player from the outing roster at any time before the outing is Complete. If the outing is in Registration Open and under capacity, the freed slot becomes available again.

Check-In

On event day, use the check-in view to mark players as arrived. This helps track who's on-site before finalizing groups. Players who don't check in can be removed or reassigned.

Auto-Pairing Groups

Once registration is closed (or you're ready to finalize), use Auto-Pair to generate groups automatically. The system distributes players into groups of four based on the outing format.

  • Scramble / Best Ball: Players are balanced across groups by handicap so each team has a fair mix of skill levels.
  • Stroke Play / Stableford: Players are grouped by similar handicap for competitive pairings.

After auto-pairing, you can manually adjust groups — drag players between groups or create custom pairings. Changes are saved immediately.

Tip
Run auto-pair after check-in so you're only grouping players who actually showed up. You can always re-run it if the roster changes.

Hole Sponsors

Each outing has 18 sponsor slots — one per hole. Assign companies or individuals as hole sponsors to display their name on the scorecard and leaderboard.

Step 1Open Sponsors

Navigate to the Sponsors section of the outing. You'll see all 18 holes listed with empty sponsor slots.

Step 2Assign a Sponsor

Click a hole to assign a sponsor. Enter the sponsor name and optionally a logo URL. The sponsor appears on scorecards and the results page for that hole.

Step 3Remove or Reassign

Click an assigned hole to clear or change the sponsor. Holes without sponsors display normally with no branding.

Scoring & Results

Once the outing is Active, scoring opens for all groups. How scoring works depends on the outing format.

Scramble
Each group enters one score per hole. The best shot is used on every stroke. Final standings are by total group score.
Best Ball
Each player in the group enters their own score. The lowest individual score on each hole counts as the group score.
Stroke Play
Individual gross or net scores. Each player is ranked independently. Net scores use the course handicap calculated from the player's index.
Stableford
Points awarded per hole based on score relative to par (adjusted by handicap). Higher total points wins.

When all groups have submitted scores, advance the outing to Complete to finalize results. The leaderboard locks and becomes visible to all participants.

Note
Managers can edit any group's scores before completing the outing. Once Complete, scores are locked.
